OutlookStats (“we”, “our”, or “us”) is operated by Smarter Code, based in the Netherlands. We are committed to protecting your privacy. This privacy policy explains how we collect, use, and safeguard your information when you use our service at outlookstats.com and app.outlookstats.com.
What data we collect
When you use OutlookStats, we collect the following information:
- Account information: Your name, email address, and tenant identifier, obtained through Microsoft sign-in.
- Email metadata: We access email headers (sender, recipient, timestamps) through the Microsoft Graph API to calculate response times. We do not read, store, or process the content of your emails.
- Subscription and payment data: Payment details are processed by our payment provider Mollie. We store subscription status, plan type, and Mollie customer identifiers.
- Configuration preferences: Your settings such as working hours, excluded email addresses, and excluded domains.
How we use your data
We use your data solely to:
- Calculate and display email response time statistics.
- Manage your subscription and process payments.
- Apply your configuration preferences.
- Improve the service and fix issues.
Data storage and security
- Your data is stored in a PostgreSQL database hosted in the Netherlands.
- We use industry-standard encryption for data in transit (HTTPS/TLS).
- Authentication is handled through Microsoft Identity Platform (Azure AD) — we never see or store your Microsoft password.
- Email content is never stored. We only process metadata temporarily to compute statistics.

Under the GDPR, you have the right to:
- Access the personal data we hold about you.
- Correct inaccurate personal data.
- Delete your personal data. You can request account deletion by contacting us.
- Export your data in a portable format.

OutlookStats uses only essential cookies required for authentication and session management. We do not use tracking or advertising cookies.
Data retention
We retain your data for as long as your account is active. If you cancel your subscription and request deletion, we will remove your data within 30 days.
